Terms and Conditions of Service RATES Reservation Confirmation: The rate provided during your reservation serves as an estimated cost of service based on the details provided at the time of booking. This estimate may not represent the final cost of your trip. Additional charges, such as waiting time, taxes, extra stops, or other services, may affect the total rate. The final charges will reflect actual usage. International reservations may incur mileage-based charges. Rates are subject to change without notice. DFW Services Group, LLC is not liable for service delays or disruptions caused by weather or other unforeseen circumstances beyond its control.
Hourly Reservations: Hourly reservations are billed from the time the vehicle departs the garage until it returns. A standard minimum of two hours applies, although certain markets or specialty vehicles may have higher minimum requirements.
Grace Period: Recognizing that unforeseen delays may occur, we provide a grace period for customers to meet their chauffeurs at the designated pickup time and location. After this window, waiting time charges will apply.
Airport Pickups: We monitor commercial flight arrivals to ensure prompt airport pickups. A grace period of 45 minutes is allowed for domestic arrivals and 75 minutes for international arrivals. After this grace period, waiting time charges will accrue in 15-minute increments based on the hourly rate of the vehicle.
Non-Airport Pickups: For all non-airport pickups, a grace period of 15 minutes is provided. Waiting time charges will apply after this grace period in 15-minute increments based on the vehicle’s hourly rate.
Base Rate: The base rate represents the transportation service cost before additional charges, such as gratuity, operational fees, airport fees, fuel surcharges, and applicable taxes.
Gratuity: A discretionary gratuity, typically 20% of the base rate, is added to each reservation for convenience. The full amount is paid directly to the chauffeur. Gratuity is voluntary and can be adjusted or waived at any time.
Operational Fees (Admin): This small charge covers administrative and regulatory costs imposed by local, state, or federal authorities, including licensing, airport, and other regulatory fees.
Airport Fees: Parking and airport-related fees are subject to change without prior notice. A standard $12 airport fee applies to all arrivals.
Taxes: Taxes are applied as incurred and are subject to changes imposed by local, state, or federal authorities.
Tolls: Toll charges include all tolls incurred between pickup and drop-off, as well as during the chauffeur’s return trip. For hourly reservations, tolls are billed as incurred, while flat-rate transfers are calculated using the most efficient route.
Fuel Surcharge (FSC): Fuel surcharges are based on average fuel costs at the time of reservation, as reported by the U.S. Department of Energy. This charge fluctuates with fuel prices.
Extra Stops: Additional stops within the same town are $15. Out-of-route stops are priced on a case-by-case basis.
Meet and Greet: Chauffeurs may park and meet passengers in the terminal at no extra cost. Assistance from airport representatives, where available, may incur additional charges, depending on the market.
Child Safety Seats: Upon request, child safety seats are available for $25 per seat.
Cleaning Fee: A cleaning fee may apply for smoking, spills, or damage requiring cleaning beyond standard procedures.
Special Event Pricing: Reservations during high-demand events may be subject to adjusted rates and policies. Details will be noted in the reservation confirmation.
CHANGES AND CANCELLATIONS We understand travel plans can change. Please provide adequate notice for changes or cancellations.
Email Cancellations: Submit changes or cancellations via email at least 24 hours in advance.
Phone Cancellations: Changes or cancellations must be made at least 1 hour in advance in corporate-owned markets. Cancellation policies are based on the pickup time and respective market’s time zone. Failure to provide adequate notice may result in full fare charges, including a 20% gratuity. Cancellation policies for buses, minibuses, or event bookings may vary.
No-Shows: A reservation is considered a “No Show” if the passenger cannot be located or contacted within 1 hour of the flight landing for airport pickups or within 30 minutes for non-
airport pickups. Full fare, including gratuity, will be charged for no-shows. Contact us at 903-213-5526 if you have trouble locating your chauffeur to avoid this charge.
BILLING Final Total: The total cost, calculated after trip completion, will be charged to the payment method within 48-72 business hours. For receipt inquiries, contact our accounting team at accounting@dfwservices.com Potential bank-related scenarios: Temporary duplicate charges. Holds on funds, despite declined charges. Pending transactions on declined payments.
